At a glance
Start with a few segments that differ in terms of content. Check delivery requirements, reliable data and exclusions together. ‘AND’ and ‘OR’ fundamentally alter the target audience. Test the definition using suitable and deliberately unsuitable profiles before planning a campaign.
First the content-related task, then the segment
Formulate the desired distinction: ‘New prospective customers need guidance on making a choice; buyers of this product group need usage instructions.’ If both groups are subsequently to receive the same email, creating a further segment offers little practical benefit. The rule should support a clear and justifiable content decision.
Klaviyo segments group profiles based on conditions and change when profiles meet or no longer meet these conditions. They may also include contacts who have not subscribed to the newsletter. The Introduction to segments explains how this works. Membership of a segment is therefore not, in itself, proof that a marketing mailing is permitted.
Distinguish between analysis and mailing: a group of unsubscribed buyers may be helpful for understanding the data, but they do not receive a reactivation email solely on the basis of their membership. In the mailing segment, the relevant channel requirements and exclusions must be taken into account.
Four differences that often justify different content
| Difference | Possible content | Check before implementation |
|---|---|---|
| Not yet purchased / already purchased | Product range guidance for prospects; suitable usage advice for buyers. | Correct order source, complete time period and distinction from post-purchase flows. |
| Demonstrable interest in the subject matter | Further information on a clicked category or an explicitly selected preference. | Signal strength, repetitions and reliably recorded value. |
| Current interaction | Regular campaigns for reachable, active subscribers; more cautious planning when there is no response. | Measurement criteria, actual sending frequency and new subscribers. |
| Language and market | Clear language with appropriate product links, currencies and terms and conditions. | Reliable preference data, market segmentation and a defined substitute where data is missing. |
A single page view does not prove a lasting preference. Use the signal in a way that is appropriate to its significance. An explicitly chosen category should be assessed differently from a one-off click in a broadly worded email. For an initial topic plan, a small set of clearly distinguishable groups is often sufficient.
Even VIP groups require a business-specific definition. Order frequency, revenue and profitable customer relationships are distinct metrics. Choose a rule based on data you can actually verify. A term such as ‘best customers’ does not in itself explain how returns, discounts or varying purchase cycles are handled.
These are planning templates, not ready-to-use rules. Fill in the specific event names, timeframes, language and exclusions from your shop. Check mixed shopping baskets and refunded orders. Whether a person should be considered a buyer on the basis of a returned order depends on the specific circumstances. A general rule cannot cover all campaigns equally.
Adjust engagement to the actual sending frequency
Klaviyo describes engaged segments based on interactions and new sign-ups. The period under consideration should also be consistent with the mailing frequency. Those who receive newsletters only rarely have fewer opportunities to respond. The Guide for engaged email subscribers provides a technical starting point for this.
Check which events your segment should track. An open does not necessarily equate to attentive reading; clicks are closer to the use of a link destination, but can also occur automatically. Choose comprehensible signals and document their limitations. The Key figures guide to open rates explains this restriction.
Handle newly registered profiles with care: someone who registered yesterday and has not yet received a campaign is not automatically uninterested simply because they have not clicked on anything. The arrival via the Welcome Flow and the subsequent campaign target audience should be aligned with one another.
Check ‘AND’ and ‘OR’ with a clear sentence
Editorial logic example: Product advice should only be sent to German-speaking subscribers who are technically reachable and have not previously made a purchase. In addition, they should either have recently clicked on a relevant link or have recently registered. The timeframes are set to suit your own frequency.
Desired rule in plain text
Subscribed and contactable AND appropriate language AND no previous purchase AND (relevant click OR new registration).
The brackets describe the grouping of content, not copyable Klaviyo code. Transfer the rule to the Segment Builder and check the links using test profiles. Klaviyo explains that ‘AND’ requires all linked conditions to be met, whilst ‘OR’ can be fulfilled by just one suitable alternative. The Segment documentation explains the difference.
Exclusions in particular require attention. ‘Not Group A OR not Group B’ may include people you intended to exclude. State the desired set positively and check the borderline cases. A plausible total figure is not sufficient evidence of correct logic.
Check the definition against four profiles
| Example profile | Expected result | Verified rule |
|---|---|---|
| German, subscribed, reachable, no purchase yet, relevant click | Included. | The click-through alternative is sufficient provided all common conditions are met. |
| German, subscribed, reachable, no purchase yet, newly registered, no click | Included. | New contacts are not excluded due to a lack of opportunity for interaction. |
| German, subscribed, reachable, previously purchased, relevant click | Not included. | The exclusion of buyers must apply regardless of interest. |
| German, unsubscribed, no purchase yet, relevant click | Not included. | An interaction signal must not override the dispatch requirements. |
For the actual implementation, add test cases for a missing language value, incorrect values, technical suppression and an event exactly at the time boundary. Inspect the underlying profiles. Klaviyo distinguishes consent from suppression; a suppressed email profile cannot receive marketing emails even when consent is present. The Documentation on suppressed profiles describes this case.
Which audience applies to a campaign scheduled in advance?
A dynamic segment and the recipient list captured for a campaign are two different things. According to Klaviyo, the audience is captured when the campaign is scheduled by default. The relevant option allows it to be determined at send time instead. This is explained in the sending and scheduling settings. Check this choice particularly carefully for messages scheduled well in advance.
Test example: a prospect becomes a buyer before sending
- On the planning date, a controlled test profile qualifies for the segment of prospects who have not made a purchase.
- An order arrives before the scheduled date. Check whether the profile leaves the dynamic segment.
- Check separately when the campaign determines its recipients. A snapshot created earlier does not automatically follow every subsequent segment change.
- Before approval, check the actual purchase exclusion and the version of the message. The current segment count alone does not answer this question.
Also check the time zone setting: when sending in recipients’ local time zones, Klaviyo uses one shared snapshot before sending to the first time zone; the audience is not determined again before each subsequent time zone. Consent and exclusions therefore require a separate check within the actual sending process. Always document the scheduled campaign setting alongside the segment definition.
Document the definition, dispatch and results together
Give the segment a name that indicates its purpose and relevant rule. Next to it, note the person responsible, data source, time period and date of the last technical review. If integration, product categories or language settings change, the definition must also be checked again. Use the same rule for subsequent evaluation.
Evaluate campaigns for each target group using comparable measurement criteria. Greater reach does not automatically equate to better relevance. The following helps with operational coordination: Newsletter topic plan and our Klaviyo audit. Under Klaviyo agency we describe the management of data, target audiences, campaigns and flows as interrelated tasks.
Use clear names, such as the purpose, language and date of the technical review. Include a brief description of the data used. A segment that nobody can explain anymore poses a risk to important campaigns. Before deleting, check whether a flow, campaign or integration depends on it.
Revise the rules if the product range, dispatch frequency or data collection changes. A long-standing interest in a product that is no longer offered may require a new classification. Keep the number of target groups manageable. A small number of reliably maintained segments make editing easier and make result comparisons more robust than having many nearly identical groups with no designated person in charge.
